California Posts RY 2025 Pay-Data Guidance as Filing Portal Opens Feb. 2

New required fields alongside a tighter file structure elevate data-collection demands before the May 13 deadline.

Overview

  • The California Civil Rights Department says the pay-data reporting portal is scheduled to open on February 2, 2026, with Excel templates re-uploaded without substantive changes.
  • CRD has condensed its FAQs to 11 pages and added upload specifications in the Handbook’s Appendix C, with a separate User Guide expected shortly.
  • RY 2025 adds required reporting of exemption status, an expanded employment type that includes an intermittent category, and total annual weeks worked.
  • Weeks worked must reflect the actual number of calendar weeks worked, including weeks of paid leave, and be reported as whole-number totals at the group level.
  • Remote-work reporting shifts to three counts for each establishment and group, the guidance adopts MENA as a race/ethnicity category, and the 100+ employee coverage threshold remains unchanged.
